Complete Medical Intake of an Encounter as a Coordinator

1. Accept the Encounter and Start the Recorded Video

  1. Accept the Encounter to begin
  2. Start the Video Encounter
  3. Confirm Patient Information is Correct
  4. Click on POI received when in review to leave a timestamp for metrics
  5. Select the Visit Prevented choice
  6. Confirm Encounter Type
  7. Select the Visit Type
  8. Create and Set the Claim

2. Invite the Patient into the Video Encounter to Record the Process

  1. Choose to send by Email or SMS
  2. Override box allows you to input manual information if the user did not provide this initially
  3. Do Not Require Authentication also allows a patient to access the video without needing to create a password to login to the portal
  4. Send the Email or SMS after the options have been selected

3. Input Injury Details to Provide Reason for the Visit

Click on Injury Details Tab

  1. Input the Injury Source, type, and Body Part, followed by Add Injury. This can be completed by asking the patient or reviewing the medical records along with the POI
  2. Capture the details of the injury in the Patient Description field. Ask Who, What, Why When and How questions until the incident is clear for the provider to review
  3. Click on Save when finished

4. Jump to Patient History to Manage their Health

This will launch a new tab within your browser to complete

The Subjective Notes for Workers Comp and other Encounters are primarily captured by the Medical Coordinator and is added to the Providers SOAP and other reports.  

  1. It is important that the Medical Coordinator allows enough time to go through these questions carefully and accurately since it is a part of the Providers SOAP and the patient's medical history.
  2. Click on SAVE during or after all the tabs have been completed

5. Add Notes for the encounter

6. Input any New Treatments required if known

  1. Add Treatment Type
  2. Include Treatment Name
  3. The Frequency x Duration
  4. Include ICD Code
  5. Input CPT Code if known
  6. Click on + to Add Treatment

6.1. Click on Add Treatment

7. Invite the Provider

Once complete with the Manage Health information, you may invite the provider to the video. Process is similar for the patient but this time check the provider as the option

  1. Jump back to Overview tab to send the invite to the provider by checking their name off in the box
  2. Notice I am overriding their phone number as they do not have one listed (Skip this step if one is provided)
  3. Checking off Do Not Require Authentication as well

8. When the Provider arrives you are Dismissed from the Video
